Hotel EV charging project plan for owners and operators

Plan charging as a guest service with an electrical and operating owner. Define parking, charging windows, compatibility, access/payment and what staff tell guests before assessing the site and equipment.

Write the guest experience first
- Overnight guests, event visitors, staff or public users?
- Parking location and how long vehicles can stay.
- Reservations, first-come access or staff management.
- Supported connectors and payment methods.
- Charging, parking and idle fees explained before arrival.
- Late-night support and the unavailable-charger fallback.

Build the site brief
Identify utility, parking/charge-port layout, mounting locations, electrical route, permissions and expansion goals. Ask for capacity, civil work, accessibility and service assessment. Select functions for the operating plan; do not infer ports from room count alone.
Make booking information specific
A useful listing states connectors, locations, hours, reservation policy, fees, parking rules and assistance. Review it when equipment or policy changes. Do not promise a charged car or available space unless the actual operation assures it.
ChargePoint's Oxford Collection story discusses guests and staff managing charging.1 This provider-published external example is not EV Ready USA customer proof or evidence of a general occupancy increase.
Name the operating owner
Keep network accounts, settlement, prices, maintenance and warranties with an accountable hotel role. Train front-desk staff on use/escalation. Confirm whether network support includes repair dispatch or only remote troubleshooting.
Budget the service as well as the installation
Use the operating-cost guide. Check current programs for hotel applicability, access conditions, covered expenses and approval order. A private guest amenity does not automatically qualify for a public-charging program.
A small launch checklist
- Agreed inspection, commissioning and vehicle test completed.
- Booking information matches the actual system.
- Staff know eligibility, price and support.
- Hardware, workmanship and service responsibilities recorded.
- Unavailable-charger message and escalation ready.

Decide who can charge and who pays before choosing hardware or network. Different users need different access and billing arrangements. A charging-session report is not automatically an approved utility billing meter.
